There are four positions on the Board of Directors up for renewal this year. To fill these positions elections will be held in December. As in past years, the Board will be asking two or three of our members to oversee the election process as a committee separate from and not influenced by the Board of Directors. The results of the elections will be posted at the clubhouse and on our website by December 19th, 2020.
Candidate nomination forms will be available at the clubhouse for any member wishing to nominate a candidate for one of the positions on the Board. In order to be eligible for nomination, a prospective candidate must have been a member in good standing of the Oshawa Clay and Target Club for a period of at least two (2) years.
The process will be as follows:
The nomination forms will be available at the clubhouse beginning Sunday November 1, 2020 at 9:30AM.
The nomination form must be signed and dated by the nominator, a second, and the nominee.
Each nomination must be supported by signatures from six (6) current club members.
Completed nominations forms must be submitted to the clubhouse (Tracy, Gaetan or Bo Pietrangelo) no later than Sunday November 15th, 2020 at 4:00PM.
The names of all persons nominated will be posted on the bulletin board at the clubhouse.
If an election is required, due to more nominations than open positions, the nominated candidates’ names will appear on the election ballot.
Voting Ballots will be available beginning on Wednesday November 18, 2020 at 9:30AM.
All official ballots will bear the corporate seal of the club. The seal will be affixed to a completed ballot prior to the member depositing it in the locked ballot box. No ballot will be counted that does not bear this seal.
Tracy Sims, appointed by the board of directors, is the only person authorized to check member’s eligibility to vote, distribute a ballot to that individual and apply the corporate seal to the ballot.
Each club member wishing to vote must come to the clubhouse and sign for their ballot. Only one ballot per membership will be allowed.
The ballot must be filled out, sealed and placed into the locked box at this time. No ballot will be accepted if removed from the premises.
Proxies used for the election or the AGM must be dated and signed after the notice of elections and AGM has been sent out.
Voting will commence on Wednesday November 18, 2020 at 9:30 a.m. and close on Sunday November 29, 2020 at 4:00PM.
The ballot box will be handed over to the Elections Committee at 4:00PM on Sunday November 29 and the ballots will be counted by the elections committee members.
The results of the election will be posted at the clubhouse on the bulletin board and published on our website.
