There are eight positions on the Board of Directors up for renewal in 2022. To fill these positions, elections will be held in November and December. As in past years, the Board will be asking two or three of our members to oversee the election process as a committee separate from and not influenced by the Board of Directors. The election results will be announced at the Annual General Meeting (AGM) to be held in January 2022, and the newly elected members of the Board of Directors will be installed at that time.
Candidate nomination forms will be available at the clubhouse for any member wishing to nominate a candidate for one of the positions on the Board. To be eligible for nomination, a prospective candidate must have been a member in good standing of the Oshawa Clay and Target Club for a period of at least two (2) years.
Nomination forms will be available at the clubhouse office beginning Sunday November 7, 2021 at 9:30AM.
The nomination form must be signed and dated by the nominator, a second, and the nominee.
Each nomination must be supported by signatures from six (6) current club members.
Completed nomination forms must be submitted to the clubhouse office no later than Sunday November 21, 2021 at 3:00PM.
The names of all persons nominated will be posted on the club’s website and on the bulletin board at the clubhouse.
An election will be held only if more nominations are received than open positions.
Voting will commence on Wednesday November 24, 2021 at 9:30 a.m. and will close on Sunday December 5, 2021 at 3:00 p.m.
Only staff appointed by the Board of Directors are authorized to issue ballots.
All official ballots will bear the corporate seal of the club. Any ballots received without the corporate seal will not be accepted/counted
Each club member wishing to vote must come to the clubhouse, present their membership badge and sign for their ballot. Only one (1) ballot per membership will be issued.
Members who wish to vote but are unable to personally attend the Club may appoint a Proxy to vote on their behalf. Proxy forms will be available after November 21, 2021. A person may only act as a Proxy for a maximum of three (3) members.
Completed ballots must be placed into the sealed ballot box. Ballots cannot be removed from the voting area (i.e. office area). Any ballots removed from the voting area will not be accepted.
The ballot box will be handed over to the Elections Committee at 3:00 p.m. on Sunday, December 5, 2021, and the ballots will be counted by the elections committee members.
The Elections Committee will provide the Club with the Official Election Results which will be posted at the clubhouse.
The Official Election Results will be presented and adopted at the AGM in January 2022 at which time the newly elected members will take office.
